Communications regarding recalls
These instructions describe how a supplier must inform Valio Aimo about the recall of products in the wholesaler’s selection.
The primary responsibility for removing the product from sale, or for a public recall and communications thereof, lies with the supplier or the owner of the trademark. In the event of a recall, Valio Aimo must be notified as soon as possible, before the external communications.
Notice of recall or removal of a product should be sent to takaisinvedot.aimo@valio.fi. The message should include the following information:
- Criticality of the recall or note of the recall being carried out on quality grounds, for example
- Product and batch information, best-before dates
- Quantities and delivery dates, PO numbers
- Delivered batches and arrival dates
- Follow-up measures regarding the products: Disposal of products under the control of Valio Aimo wholesale, termination of deliveries, recall of products from customers, disposal or return of blocked products to the supplier, refund information and measures
- Public recall notice (in the event of public recall). These must include information about how consumers/customers can claim their refund and whether they should return the product or dispose of it.
- In the event of a recall, the supplier is responsible for informing the authorities and the media. Valio Aimo is responsible for informing the authorities only regarding own-brand products.
Email inboxes must also be monitored outside office hours. In the event of a critical recall, or when the supplier wants to verify that Valio Aimo staff have received the email, the supplier must contact the responsible product manager during office hours.
Rapid and effective communication from the supplier facilitates effective measures.
